HOPE FIT VA GENERAL TERMS AND CONDITIONS:
Hope Fit VA is a boutique fitness studio. We do require a membership in order to use our studio. A member is considered to be anyone who is purchasing a recurring package of Bungee Fitness classes, TRX Classes, Xtreme Hip Hop Classes, Personal One on One training, or monthly Group HIIT classes and training. Our contracts are based on 6 month commitments. Kids memberships are month to month(see “Membership,”) We utilize recurring, automatic payments, which can be cancelled after 6 month commitment and with 30 days notice. (see "Cancelling your membership")Please read the sections of our terms and conditions that apply to your situation as a class and training participant, and the membership section.
Hope Fit VA reserves the right to ask any participant that is acting in a disruptive manner, whose behavior infringes on the rights of other participants, or who acts in an unsafe manner to him/herself and/or others, to leave the studio.
Members are required to wear a form of dress appropriate to the class they are participating in. Shirt and shoes, with the exception of yoga classes, are required. No pets, with the exception of guide dogs, are permitted in the facilities or grounds. Smoking is not allowed.

Hope Fit VA User Policy - Group Fitness Classes:
Hope Fit VA Class participants understand that:
Monthly Class Members have automatically renewing or recurring monthly memberships. Group Fitness classes are charged monthly and the member has 30 days to use the classes. Group Fitness memberships are 6 month commitments and automatically renew on a month to month basis at the conclusion of month 6. Group Fitness classes cannot be extended or “rolled over” to the next month. Please see auto-payment rules and disclosures for monthly memberships. Complete details are located below in “Monthly Memberships” terms and conditions.
Monthly Personal Training Members have automatically renewing or recurring monthly memberships. Sessions are charged for on a monthly basis and the member has 30 days to attend their scheduled number of sessions within that month.
Punch Card Clients/Bundle have a certain number of classes to use during a discrete time period. Please be aware that our punch cards vary in the amount of classes purchased, and the time frame in which these classes can be used. Classes cannot be redeemed after a punch card expires.
Instructors and Classes are subject to change. Hope Fit VA posts classes and scheduled instructors on our class schedule. Occasionally, we may need to substitute an instructor for a class without prior warning, but we’ll do our best to notify members with as much notice as possible.
Gym Behavior and Conduct: We reserve the right to refuse anyone Studio access and suspend or terminate studio use or memberships if we reasonably consider that one’s conduct is dangerous, or in any way that negatively affects the interests of other users of the Studio or participants in our classes.
Classes can be reserved in advance: Please download the Hope Fit VA app and create an account. After creating an account, you may schedule your classes online.
Late Cancel or Absent from Scheduled Class: Classes must be cancelled 4 hours or more prior to the scheduled class. Classes that are cancelled less than 4 hours prior to the scheduled class time are considered a late cancellation. In this case, a class will be deducted from the cancelling member’s account. If the member does not cancel and does not show up to their reserved class, they will be deducted a class credit and charged a no-show fee that is equivalent to the price of a single class ($20). If a member is participating in the “Personal Training” membership and late cancels after the 4 hour window, he/she will be charged a $10 late cancel fee.
Hope Fit VA has limited class sizes and therefore needs to enforce the cancellation policy to assure that all members have access, when possible, to classes offered.
Late arrival: If a Member or Guest with a reserved class spot arrives more than ten (10) minutes late, his/her reservation may be given away to another client. Hope Fit VA reserves the right to charge a late fee or the cost of the entire class to any Member who is more than ten (10) minutes late to a class.
Waitlists: Hope Fit VA limits the size of our classes to ensure that all members receive an excellent workout experience in a safe environment. When a class is full, a limited amount of Hope Fit VA participants can join the waitlist. We will do our best to alert you if space is available. You will not be charged for a “missed class” if a spot opens up and you cannot take it, unless you have confirmed that you will be there.
Drop-ins: Any Hope Fit VA Member may drop in to a Group Fitness class ( Non Bungee). However, if the class is full in advance, drop-ins will not be accommodated.
Hope Fit VA User Policy - Personal Training:
You must be 13 years of age or over to use any Hope Fit VA facilities or services. If you are under 18 years of age we require your legal guardian to sign a consent form in-studio prior to attending a personal training session.
You agree to sign the Hope Fit VA waiver prior to taking any personal training session at Hope Fit VA.
Personal Training memberships are monthly recurring memberships.
All personal training appointments must be cancelled at least 8 hours or more in advance, otherwise you will be charged a $10 "no show" fee and lose that session from your package.
Personal Training memberships (some include class access):
Monthly Training members have automatically renewing or recurring monthly memberships. Training sessions are charged on a monthly basis and the Member has 30 days to use the sessions. Sessions cannot be extended or “rolled over” to the next month. Please see auto-payment rules and disclosures for monthly memberships. See “Monthly Memberships” for complete terms and conditions.
Package clients have purchased a set number of training sessions for a set period of time (generally 6 months and disclosed at the time of purchase).

In addition to compliance with Class and Personal Training Hope Fit VA User policies, members also agree to the following:
For Monthly Members:
Hope Fit VA memberships (class, personal training, or any combination thereof) are a recurring auto-payment that allows the user to access Hope Fit VA classes, training and/or services. The auto-payment membership is to be used by the holder only and cannot be shared. Members may cancel auto-payments with a 30-day notice. Members must complete the cancellation form to cancel the monthly payments. If a membership is cancelled, any pricing discounts will be lost and if the client elects to rejoin in the future they will need to join at current Hope Fit VA rates.
For Unlimited Membership:
Changing your membership: Members may change their membership at anytime with a 14-day notice before your next billing day by contacting the Hope Fit VA staff.
Pausing your membership: Hope Fit VA can pause a membership at the discretion of Hope Fit VA management. Acceptable reasons for pausing a membership would be: injury, doctor discretion, surgery or other events beyond the members control. Memberships WILL NOT be paused due to vacation, desired time off or instances as such.
Rate Increases: When a client becomes an auto-payment member at Hope Fit VA, their monthly rate is locked in for as long as they keep their auto-pay membership in use. We will not raise monthly rates. If members allow their monthly auto-pay contract to lapse or if they cancel their membership, fees will adjust to current Hope Fit VA rates.
Enhancement Fees: A one time per year charge of $50 will be charged to every Hope Fit VA member in March. This annual charge will be used to enhance and improve the facility with new or updated equipment, better cleaning materials and better class experiences.
BILLING - For Class or Personal Training monthly members
By starting a Membership, a member authorizes Hope Fit VA to charge him/her a monthly fee at the current Studio rate.
Auto-Pay Package: When members sign up and purchase an “Auto-Pay” Package, the first month will be billed immediately and pro-rated for the amount of classes left in that month. Auto-Pay Packages will auto-renew on a 30-day cycle. Payment will be taken on the 1st of each month, provided that, if we are unable for any reason to take payment on a Renewal Date, we will take payment as soon as practically possible thereafter. Declined charges past 7 days will default the account and void any future membership discounts.
No Refunds. UNLESS EXPRESSLY STATED TO THE CONTRARY HEREIN, OR AS PROVIDED BY APPLICABLE LAW, PAYMENTS ARE NONREFUNDABLE AND THERE ARE NO REFUNDS OR CREDITS FOR PARTIALLY USED PERIODS. However, following a cancellation of an Auto-Pay package members will continue to have access to the gym through the end of their paid cycle.
Payment Method Information can be edited by logging into your Hope Fit VA (Mindbody) account and updating accordingly. If a payment is not successfully settled, due to expiration, insufficient funds, or otherwise, and Payment Method information is not edited provided an Account has not been cancelled in accordance with these Terms (see, “Cancellation”), the Member remains responsible for any uncollected amounts.
Cancelling your membership: If you must cancel your Hope Fit VA membership, you must do so in person at the studio. A membership cancellation form must be completed and will be filed to acknowledge the canceling member's request. A 30-day notice is required to cancel all memberships. If canceling group fitness memberships and if under the 6 month commitment, the member will be responsible for 80% of the remaining balance. If cancelling a Personal Training agreement and if under the 6-month commitment, the client will be required to pay up to 2 months of the remaining agreed to timeframe. If 1 month is left on agreement, the remaining time must be paid for in full.
